This is the Pioneer Talent Privacy Notice, providing details on the processing of user data.

Under data protection legislation, Pioneer Talent is defined as a data controller.

We are required to have a named data officer. This person is responsible for making sure that our fostering service complies with its legal duties in how we collect, keep and share your personal data.

Why do we collect your personal data?

We collect and use your personal date in relation to your position as a candidate or client because the law requires us to do so. Before we are allowed to approve you as part of our network, we must assess you to ensure we can keep your data. This involves us collecting and recording a lot of personal information about you. The law requires us to keep this information for a number of years, whether or not you are involved in a career project.

What personal information do we collect?

As part of the associated project, the personal information we collect and record includes your name, address and contact details (including email address and telephone number) and Personal CV’s (including data contained within).

How do we collect your information?

We use different methods to collect data from and about you. Data is collected when you:

  • Make an enquiry, by completing the online website form
  • Sign up to join our network

How do we use your personal data?

We keep and use your information to enable us to run a recruitment service in line with the requirements that are set out in law. This will include, enquiring to become part of our network.

Who has access to your data?

Employees of our Recruitment agency will have access to your information.

How do we make sure your personal data is kept safe?

We have a range of policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed. We have a system to ensure that your information is accessed only by individuals authorised by us to do so in the performance of their duties.

Where historical paper files are held, these are protected by being kept in locked cabinets within our office. All of our offices have security systems and are securely locked outside of office hours.

Personal data that is held electronically is held on a secure database. This is only accessible to authorised individuals, with password protection and other systems in place to ensure this. These systems have been assessed and certified as appropriate by independent organisations through annual penetration testing of the code.

All of our staff are trained in data protection duties and are required to comply with our data protection policies.

When we share your information with third parties, we are obliged to check that those third parties have systems in place to protect your information with appropriate security measures and that they will not disclose your information to others.

If there is a data breach, where we “lose” or wrongly share any of your personal information mistake, we will inform you of it, and tell you what action we are taking.

How long do we keep your personal data?

The law is very clear that personal data should not be kept longer than is necessary.

How can you see what personal information is held on your record?

You can ask to see what personal information we hold about you. This is sometimes called a Subject Access Request. We will provide this information to you within one month (unless things are very complicated), and there is no cost for this. If you want to see the information we hold about you, please contact the data controller whose details are provided earlier in this notice. You do not have to give any reasons for why you want to see this information.

Your rights relating to Personal Data
Under the General Data Protection Regulations (GDPR) you have a number of ‘rights’ to ensure you are treated fairly by the Pioneer Talent.

You have the right to be informed – all individuals have the right to know what, why and in what way their personal information will be processed, and we hope we have explained this in our privacy notice, if you feel that we could explain the use of your data in a better or clearer way we would be pleased to hear from you. The right of access – GDPR gives you the right to access information held about you. Your right of access can be exercised at any time. Pioneer operate both a Data Subjects Rights procedure and a Subject Access Rights Procedure to ensure that all rights exercised by data subjects relating to personal data are managed appropriately. You have the right to access personal information we hold on you by making a request in writing to your local office at any time
The right to rectification – If any of your personal data changes, or if you have any questions about how we use data which relates to you, please contact your local office in writing where we will ensure that we make the necessary rectification.
The right to erasure (The Right to be Forgotten) – You have the right to have your personal information erased and to prevent processing in some specific situations, however, please be aware that the Pioneer Talent can refuse to comply with some or all of a request as we are legally bound to retain certain information to comply with fostering service regulations.
The right to data portability – you have the right to request personal information that you have provided to us for your own purposes. To request information please contact your local office in writing.
